Our Company Terms and Conditions
Himalaya Trekking Team is a reliable, family-run trekking agency based in Kathmandu, Nepal. We accept your booking subject to the following Terms and Conditions:
01. Deposit
A deposit of 20% of the total trip cost per person is required to confirm your booking.
02. Deposit payment
You can pay online by credit card (Visa or MasterCard) via our Payment Form or by bank transfer to the following bank account:

03. Final payment
The full balance is due five weeks before your departure. If payment is made by credit card (Visa or MasterCard), a handling fee of 4% of the outstanding balance will be added to the total cost. If payment is made by bank transfer or in cash upon arrival in Kathmandu, there is no handling fee. We reserve the right to cancel your trip if the full amount is not received by this date.
04. Cancellation by you
All cancellations must be made in writing at info@himalayatrekkingteam.com. Should you cancel, cancellation fees will apply as per the policy below:
05. Cancellation by us
Himalaya Trekking Team reserves the right to cancel any trip which does not have sufficient people taking part to make it financially viable or as a result of unforeseen events beyond our control including but not limited to riots, civil disturbances, strikes, natural disasters, adverse weather conditions, terrorist activities or threat of such, and closed airports. Under such circumstances, we will inform you as soon as possible, and either offer an alternative trip of comparable standard or make a full and prompt refund of all money paid less processing fees. However, Himalaya Trekking Team accepts no liability for any loss arising from such exceptional circumstances.
06. Deposit refund
Your 20% deposit cannot be refunded, except in the case of cancellation by us under clause 05.
07. Travel insurance
Travel or personal insurance is your responsibility. It is not included in the cost of your trip. We strongly advise that you take out adequate insurance prior to your departure to cover for search, helicopter rescue and repatriation in the event of a medical emergency, personal accident, natural calamity etc.
08. Incomplete tour
Himalaya Trekking Team cannot make any refund if you cannot complete the trip because of personal reasons. However, if you are unable to complete the trip because of an action by Himalaya Trekking Team staff, a pro-rata refund will be issued.
09. Single supplement
Accommodation on all proposed treks, tours, and climbing packages is based on a twin-sharing basis. A single supplement will apply if you do not wish to share.
10. Documents
A passport with at least 6 months of validity is generally required. Travel documents, including visas and compliance with customs regulations, are your responsibility. Himalaya Trekking Team cannot be held liable if you are prevented from continuing the trek or tour as a result of documents not being in order or missing.
11. Tour prices
Pricing is accurate at the time of booking. Himalaya Trekking Team does its utmost to maintain fair costs. We however reserve the right to revise pricing as a result of unavoidable circumstances or external factors beyond our control, such as fluctuations in exchange rates or increases in airfares and other transport costs, hotel rates, government taxes etc.
12. Personal possessions
Himalaya Trekking Team accepts no liability for any loss, theft or damage to personal possessions including luggage, even when carried by porters, ponies or vehicles. Your personal possessions and luggage are your responsibility at all times.
13. Your responsibility
Himalayan Trekking Team staff are trustworthy, reliable and honest. It is their priority to provide the highest quality services while keeping you safe, happy and well throughout your trip. Any unlawful, disruptive, discriminatory or unnecessary act or behaviour that might endanger you, your guide or other members of the group may result in your being expelled from the trek or tour. No refund will be made to participants excluded on such grounds.
14. Safety and itinerary changes
Himalaya Trekking Team staff will always endeavor to make sure you complete your itinerary according to your original plan and schedule. However, mountains are unpredictable. Progress can be affected by poor weather, landslides, floods, road blockages, flight delays or cancellations etc, and we may need to change your itinerary to adapt to the new situation, with your comfort and safety in mind. Every effort will be made to find the best alternative, but please prepare to be flexible if required and to cover all additional accommodation, food and travel expenses in case of such unexpected changes. If you are trekking in remote areas, especially during the low season, we strongly recommend that you allow extra days for possible itinerary changes.
15. Flight delays
Please be aware that plane and helicopter flights in remote mountain areas are prone to cancellations and delays due to unpredictable weather conditions and occasional operational complications, especially Lukla Airport (Everest Region), Jomsom Airport (Annapurna Region), Simikot Airport (Humla), and Jumla Airport (Jumla). In such cases, Himalaya Trekking Team will not be responsible for additional expenses or costs incurred as a result of flight delays/changes or lost interconnections. If your itinerary includes such flights, we strongly recommend that you made adequate provisions and carry enough extra cash to cover unforeseen accommodation, food and travel expenses.
