Our Company Terms and Conditions
Himalaya Trekking Team is a reliable, family-run trekking agency based in Kathmandu, Nepal. All bookings are accepted subject to the following Terms and Conditions.
A deposit of 20% of the total trip cost per person is required to confirm your booking.
You can pay the deposit online by credit card (Visa or MasterCard) via our Payment Form, or by bank transfer to the following account:

The full balance is due five weeks before your departure date.
If payment is made by credit card (Visa or MasterCard), a 4% handling fee will be added to the outstanding balance.
If payment is made by bank transfer or cash upon arrival in Kathmandu, no handling fee will apply.
Himalaya Trekking Team reserves the right to cancel your trip if the full payment is not received by the due date.
All cancellations must be made in writing and sent to:

The following cancellation charges apply:
30 days before departure: 15% of the total trip cost
15 days before departure: 25% of the total trip cost
7 days before departure: 40% of the total trip cost
Less than 7 days before departure or after arrival in Kathmandu: 100% of the total trip cost
The remaining balance may either:
be credited toward your next trip, or
be refunded minus bank processing charges applied by Nepal Rastra Bank for international transfers.
Please note that climbing permits already purchased are non-refundable.
Himalaya Trekking Team reserves the right to cancel any trip due to insufficient participants or unforeseen circumstances beyond our control, including but not limited to:
riots
civil disturbances
strikes
natural disasters
adverse weather conditions
terrorist activities or threats
airport closures
In such cases, we will inform you as soon as possible and either:
offer an alternative trip of comparable standard, or
provide a full refund of all payments received (excluding processing fees).
Himalaya Trekking Team will not be responsible for any additional losses or expenses caused by these circumstances.
The 20% deposit is non-refundable, except if the trip is cancelled by Himalaya Trekking Team under Clause 05.
Travel insurance is not included in the trip cost and is the responsibility of the traveler.
We strongly recommend that all clients obtain comprehensive travel insurance that covers:
medical emergencies
helicopter rescue
trip cancellation
repatriation
personal accidents
natural disasters
No refund will be made if you cannot complete the trip due to personal reasons.
However, if the trip cannot be completed due to the fault or action of Himalaya Trekking Team staff, a pro-rata refund will be issued.
Accommodation during treks, tours, and climbing trips is generally arranged on a twin-sharing basis.
A single supplement charge will apply if you request single accommodation.
Travelers must carry a passport with at least 6 months validity.
Obtaining the following documents is your responsibility:
visas
permits
customs documentation
other travel documents
Himalaya Trekking Team will not be liable if you are unable to continue the trip due to missing or incorrect documents.
All prices are accurate at the time of booking.
However, Himalaya Trekking Team reserves the right to adjust prices due to external factors, including:
exchange rate fluctuations
increases in transportation or airfare
hotel rate changes
government taxes
Himalaya Trekking Team accepts no liability for loss, theft, or damage to personal belongings, including luggage, even when carried by porters, pack animals, or vehicles.
All personal belongings remain the traveler’s responsibility at all times.
Our staff are experienced, reliable, and committed to providing safe and high-quality service.
Any participant displaying unlawful, disruptive, discriminatory, or dangerous behavior that threatens the safety of others may be removed from the trip without refund.
While we make every effort to follow the planned itinerary, mountain travel can be unpredictable.
Changes may occur due to:
bad weather
landslides
floods
road blockages
flight delays or cancellations
In such cases, Himalaya Trekking Team will arrange the best possible alternative to ensure your safety and comfort.
Additional costs for accommodation, food, or transport caused by such changes will be the responsibility of the traveler.
When trekking in remote regions, we recommend allowing extra days in your schedule.
Flights and helicopter services in remote mountain areas are often affected by weather conditions, particularly at airports such as:
Tenzing-Hillary Airport (Lukla – Everest Region)
Jomsom Airport (Annapurna Region)
Simikot Airport (Humla Region)
Jumla Airport (Jumla Region)
Himalaya Trekking Team is not responsible for additional costs caused by flight delays, cancellations, or missed connections.
Travelers are advised to carry sufficient extra funds to cover unexpected accommodation, meals, or transportation.
